Effective Project Communication Is Key To Good Decision-Making

Project management is a very important part of companies and involves organizing and managing the company’s resources for successful completion of projects. A project is a temporary and one time job needed to create a unique product or service apart from the daily operational activities of the company.

Project management means completing a project successfully, on time, within budget and meeting customer’s acceptance criteria. It is applicable to big and small both type of projects. Once the project manager had set a project schedule, it is followed to know if the project is ahead of time or behind. He then ensure that he has a sufficient and appropriate staff to handle the project as there is no point in the leader being capable if he is surrounded by an inept staff. After scope, cost, schedule and quality, effective communication comes into picture. Project management calls for a good communication plan as there is efficient flow of information among various stakeholders both internal as well as external. Therefore project communication plan must be well documented including each and every detail clearly and specifically. With this plan in place, there is very little room for delays and misunderstandings.

The initial communication on a project has to include more than just the project creator. It also has to include an understanding of the problem and some assessment as to whether the project plan architect’s idea of the project as a solution is accurate and up to the mark. Great project managers give maximum weightage to communication and the opinions of the parties involved. They care about their stakeholders’ feedback and at times are self-aware of how their communication is received by them. Be honest and transparent while communicating, try to be clear and concise. In case the information is confidential then share it only with the relevant stakeholders and share the real information without fear. Don’t share partial information as it may lead to confusion and you might lose the trust of your stakeholders.

In addition to this, the completed project solve the actual issue or problem. If the creator is not very sure about any information and input from other parties and other areas is required, it is good to seek the desired support and assistance. One cannot separate the fact of completing a requested project from actually successfully solving whatever the issue was in the first place. In addition to it knowing & understanding the project is of utmost importance and project planning becomes easier.

Sometimes managers have to coordinate between multiple agencies and plan things very early. They have to plan many things in parallel so that at the time of execution those things are ready. Most of the projects are time bound so they have to be very careful for doing all the job and give instruction in time so that it can be finish in time. Therefore project must be done with proper planning, and communication planning is a critical part of every project.
